How To Force Users To Tag Screens, Playlists And Content

It's possible to create a custom role within NowSignage that enforces a tagging requirement for users when they create new screens, playlists, or upload content. This functionality is particularly beneficial for organisations that prioritise content organisation, as it ensures that all media items are appropriately categorised and easily searchable.

By requiring tags, you can enhance collaboration among team members, improve content management, and streamline the overall user experience. This feature allows administrators to maintain consistency across the platform and ensures that all content adheres to the organisation’s tagging standards, ultimately leading to better content discoverability and usability.


There are two methods to achieve this:


1. Duplicate an existing role

  • To begin, click on your name in the top right corner of the platform and select 'My Account.' Next, navigate to the 'Roles' section in the left sidebar. Here, you will find a list of existing roles. If you wish to duplicate a role and modify it to enforce tagging requirements, click 'View' next to the role you intend to copy.

Now, click on 'Duplicate' to create a copy of the selected role. Once you return to the main roles area, click on the eye icon to access the view settings for your new role. Here, you can edit the role and specify 'obligations' on the right side of the page. This allows you to select the areas of the platform where you want to enforce tagging requirements for users.




Once you are happy with the custom role, scroll to the bottom of the page and click 'update role' at the bottom of the page. You can now either edit your existing users to assign them this role or invite any new users with this custom role.


2. Create a new role

Click on your name in the top right of the platform and press 'my account', then go into the 'roles' area located on the left sidebar.


Now you will see a list of roles, to create your own press 'add new role' and give a title to you new role. The next step is to chose what permissions you want to set for this role, you will see an access list, so simply click on what permissions you wish this role to have and press 'update role' when you are happy. You have now created a role which you can start assigning to users within your account. 


If you have selected any of the obligations, it will now prevent any user from creating screens, creating playlist or uploading content without a tag applied to the item.
